After you create payment lines on Payments, batch outgoing funds through EFT Payments or print commission cheques from Cheque Payments. This module covers both outbound channels.

Contents

Payment lines must exist on the deal account ledger first — use Send Payment or Create Payments on Payments (Module 6) before opening EFT Payments or Cheque Payments.

Search and queue EFT payments

  1. Open Financial → EFT Payments.
  2. Select Pay From (required) — the EFT-enabled bank account funding the batch.
  3. Optionally filter by Payment Type, Search by Deal No., and Date From / Date To.
  4. Click Retrieve Payments — results do not load until Pay From is selected.
  5. On the Unprocessed tab, review pending commission and trust outbound lines.
  6. Select payments and add them to the queue.

Aggregated payments may combine multiple rows for the same recipient when types are compatible.

Payment to Brokerage and Transfer types pay into another trust account — when selected, choose Pay To Trust Account before queuing.

Approve and monitor EFT batches

  1. Open the Queued tab and review amounts, payees, and deal numbers.
  2. Approve the batch to release payments for electronic submission — only authorized staff accounts can queue and approve.
  3. Monitor In Progress while the bank processes submissions.
  4. Confirm completed rows on Paid.

A Service unavailable notice may appear when Zum sending is paused — you can still queue and approve in RealDesk; payments stay on Queued or In Progress until the connection recovers.

Handle EFT errors

  1. Open the Errors tab — Status history loads for each failed payment automatically.
  2. Expand View Errors on a row for field-level messages.
  3. Fix banking details on the recipient or payment record.
  4. Return the payment to Queued for reprocessing when that option is available.
  5. Re-check Payments on the deal to confirm ledger status matches the EFT tab.

Open Cheque Payments

  1. Open Financial → Cheque Payments.
  2. Set Type to Pending Cheques, Printed Cheques, or Voided Cheques.
  3. Choose Account — the trust account that issued the cheque.
  4. Optionally filter by Deal No or Cheque Number.
  5. Click Filter to refresh the list.

The results table shows cheque number (linked to deal, withholding, or vendor payment), office, account, deal or vendor, Cheque Written date, and Cheque Printed date on printed rows.

Select and print cheques

  1. On Pending Cheques, review the filtered list — up to 20 cheques per batch.
  2. Uncheck any rows you want to skip (all are selected by default).
  3. Adjust Print Options if alignment is off on your printer template.
  4. Click Print Cheques — a PDF generates with cheques positioned for your bank stock.
  5. Print directly onto cheque pages.

Cheques automatically move to Printed Cheques after PDF generation.

Adjust print alignment and reprint

  1. Use Print Options to tweak horizontal and vertical offset when amounts or payee lines misalign on stock.
  2. To reprint, switch Type to Printed Cheques, filter, select rows, and print again.
  3. Without printing, use Move to Printed Cheques on pending rows when cheques were printed outside the PDF flow.
  4. Use Move to Pending Cheques on printed rows when you need to return cheques to pending for a reprint workflow.

Void or correct cheque status

  1. Switch Type to Voided Cheques to review voided items.
  2. Void flows on the deal or withholding payment record remove or strike through cancelled cheques when permitted.
  3. After EFT or cheque completion, confirm payment status on Payments and reconcile with accounting when View Accounting is enabled.
